                                      Manage the Course

                                      In managing the course, it is important to recognize the responsibility that you have when sharing this material and God’s word.  Please familiarize yourself with the material and be prepared for any questions that may be asked by students.  The following topics will be addressed below to better prepare you for managing the course: printing, postal mail correspondence preparation, postage, and emailing.  The course will run more smoothly, giving souls the opportunity to learn of Christ, if these four topics are reviewed and understood prior to corresponding.


                                      Printing

                                      When printing the documents for each corresponding section, there are three main points to remember.

                                      1. Double-check and verify that you are printing out the correct section based on which section was sent back by the student.

                                      2. Make sure that you print all the necessary documents for that section and that the correct documents are printed (for example: the worksheets and questionnaires that allow for handwritten responses should be printed out if the course is being taken through postal mail).

                                      3. Print each document on one page and in color.  The students taking the course signed up being told that each lesson and worksheet would be only one page front and back and that the verses in the lesson would be highlighted in red ink.  Therefore, make sure that when you print double sided documents that they print on one page and that you are printing in color.  If you have a duplex printer, double sided printing can be done by setting your options to print duplex (or double sided), or you may have to learn how to print a double sided document by manually inserting the page a certain way after the first side has printed (this is usually done by pulling out all the paper from your printer, putting one page into the feeder tray, printing the document, and then reloading it to allow it to print the other part of the document on the other side of the same piece of paper.  Generally, if you have a printer that loads paper from the top, then you will replace the page (once it finishes printing the first side) with the top of the printed side into feeder and with the print not showing.  However, if you have a printer that loads paper from the front, then you will replace the page (once it finishes printing the first side) with the top of the printed side into the feeder and with the print showing.  This is generally the case for most top and front load printers, but it is good to test a document to see how your printer prints double sided documents first.).  The purpose of printing the double sided documents on one page is both to give the students less paper to work with reducing the chance of them feeling overwhelmed and to minimize the cost of postage on those offering the course.  If you have any questions about how to print double sided documents on one page, please send an email to printing@learnofchrist.com.



                                      Postal Mail Correspondence Preparation

                                      In preparing to send a section through postal mail correspondence, there are five points to remember.

                                      1. Verify that you are sending the correct section to the correct student at the correct address.

                                      2. Prepare a return envelope with postage for all applicable sections.  Each section requires a return envelope except for the final section.  All return envelopes will only require standard ($0.44) postage and should be addressed to your address and the return address should also be your address.  This prevents the completed sections that are mailed from being sent back to the student and increases the chances of the mail being received by you even in a postal mistake or dely.

                                      3. Confirm that the student’s name and address are noted in all the right places.  The envelope containing the entire section that is being sent to the student will be addressed to the student with your address as the return label.  However, the students name and address must also be noted on the backside of the worksheet.  It is imperative that the available area located on the backside of the worksheet in the bottom right hand corner is addressed with the students name and address.  This enables you to differentiate between the students and know which student sent back their worksheet.  Since the return envelope provided to the student will be both addressed to you and have your address as the return label, it is necessary that this area of the worksheet is filled out appropriately for all postal correspondence.

                                      4. Verify that all necessary documents are being placed into the envelope and that a return envelope is provided as well (all sections require a return envelope except for the final section).  Confirm one last time that there are three areas that have your address (both the send and return addresses on the return envelope and the return address on the envelope you are sending) and that there are two areas that note the student’s name and address (the send address on the envelope you are sending and on the provided area within the worksheet).  Finally, fold the return envelope up to fit it into the envelope you are sending (this can be done by folding about an inch of the stamped side inward and about a half an inch of the bottom upward).

                                      5. Lastly, confirm that the correct postage is used for the envelope being sent to the student depending on the number of documents being sent.  See below for postage details.



                                      Postage

                                      In order to pay the correct amount of postage and have your correspondence delivered, please note the below points regarding postage guidelines when offering this course:

                                      • All return envelopes only require standard ($0.44) postage.
                                      • Postal mail that contains 4 pages or fewer along with the return envelope requires standard ($0.44) postage.
                                      • Postal mail that contains 5 or more pages along with the return envelope requires standard ($.044) postage plus a $0.17 stamp totaling $0.61 in postage.
                                      • Generally, if no additional documents are included in the correspondence other than what is provided for each given section, then sections 1, 6, 7, 8, and the final section will only require standard ($0.44) postage; however, sections 2, 3, 4, and 5 will require standard ($0.44) postage plus a $0.17 stamp totaling $0.61 in postage. 
                                      • The additional postage that is required in the noted sections is due to the questionnaires that will be included with those sections.  However, if any additional pages are included in any of the other sections (due to answering questions, etc), then please note the number of total pages that are being sent and verify that enough postage is included.
                                       

                                      Emailing (if corresponding electronically)

                                      If the course is being managed through email (electronic correspondence), then there are four main points that should be remembered.

                                      1. In order to send the electronic version of files, they must first be downloaded to your computer.  Therefore, the files that are required for each section (an answer key (except for section 1), a lesson, a worksheet, and a questionnaire (for sections 2, 3, and 4) should be clicked on within the sections page and then saved to your computer.  This is required in order to email these files.

                                      2. Verify that the correct files are being downloaded for the section that is being emailed.  For example, the worksheets and questionnaires that allow for electronic responses should be downloaded.  These files are formatted to allow students taking the course through email to be able to answer the questions on their computer without having to print out any documentation.

                                       3. Save any returned files that were sent by the student.  For example, when a student sends back section 1, they will email a copy of their completed worksheet 1.  Therefore, this file should be downloaded and saved on to your computer from their email.  However, some sections may have two returned files.  For example, when a student sends back section 2, they will email a copy of their completed worksheet 2 and questionnaire 1.  Therefore, both these files should be downloaded and saved onto your computer from their email.

                                      4. Attach all files to the email.  This is one of the most common mistakes in any email correspondence: sending an email that contains a message referencing numerous attached files and then sending that message prior to attaching the files.  One of the best ways to correct this very common mistake is to always attach your files prior to writing a message within the email.  The following documents should be considered as to whether they should be attached to the email: an answer key, a returned worksheet from the prior section, a lesson, a worksheet, a questionnaire, the welcome letter, the thank you letter, the spiritual evaluation.  The easiest way to remember which files should be attached for each section is to first attach any returned files that were sent by the student and then attach all necessary files that are available in each sections page.
